Build the mobilisation brief

Plan transport to the shore base and accommodation if personnel arrive before mobilisation. A flight arrival, road pickup and vessel departure are separate milestones. Agree a contingency if a flight or offshore transfer is delayed so people are not dispatched without an accepted onward plan.

Supplies and equipment: confirm the handover

Give accurate weights and dimensions and identify any special cargo. Ask who checks the packing, secures the load and provides lifting or handling equipment. The receiving facility should confirm how and when it can accept the delivery.

A shipment ready at a warehouse is not necessarily ready at the vessel’s loading point. Coordinate release, truck arrival and waterfront access. Record the cargo condition and acknowledgement at the agreed handovers, particularly when several contractors are involved.

Compare mobilisation, day rates and standby

An offshore quotation may separate mobilisation, operating days, demobilisation, fuel, crew and standby. Ask when each charging period begins and ends. Establish the terms for a delayed start, extended job, changed destination or weather-related interruption.

Compare providers using the same vessel requirement and responsibilities. A lower day rate can be offset by a longer mobilisation or excluded services. Ask for the billing currency, quote validity and any stated taxes or additional costs rather than applying an assumed industry-wide tariff.

Weather, communications and changes

Agree the reporting contact and operational updates before the job starts. The qualified operator and facility must assess the conditions and decide whether movement can proceed. An urgent project deadline should not be presented as a guaranteed sailing time.
