Confirm booking timing and service scope
The cargo page currently lists booking cutoffs of 96 hours for direct flights and 72 hours for transit flights. Reconfirm the applicable deadline with the cargo team for the actual route and goods. These are booking instructions, not permission to deliver any consignment to the airport at that moment.
Ask separately for the receiving facility and physical handover cutoff. Identify whether the quotation covers an airport movement, a connecting service or another delivery arrangement. A passenger ticket does not confirm the freight booking.
Prepare a complete shipment brief
- Origin and destination, shipping date and delivery deadline.
- Contents, package count, gross weights and dimensions.
- Any batteries, liquids, chemicals, perishables or fragile items.
- Sender, receiver and destination collection contacts.
- Required airport handling, customs assistance or road delivery.
Select the product for your shipment
For ordinary cartons, describe the contents accurately and ask about general cargo acceptance. For medicines or fresh goods, provide the packing and temperature requirements. For live animals, valuables or dangerous goods, request the specialist acceptance process before arranging transport toward the airport.
A product category does not establish suitability for every item or station. Ask which approvals and documents apply to the specific commodity, origin, transit point and destination. Keep mixed loads clearly identified so goods requiring different handling can be assessed separately.

Request a current quote based on the final dimensions and weight of every piece. Ask how chargeable weight is calculated, whether a minimum applies and which screening, documentation and terminal costs are included. Clarify the payment currency and quote validity.
For sensitive goods, compare the handling plan as well as the rate. Confirm origin waiting, any transfer and destination release arrangements. Identify destination charges, storage terms and whether customs support or final delivery is part of the quote.
Prepare handover and track the goods
Obtain the accepted booking reference, receiving address and packing instructions before dispatch. Check that the package count, consignee details and contents match the information used for acceptance. Notify the team if the load changes after the quotation.
RwandAir provides a cargo tracking route. Keep the shipment reference available and ask the booking contact how to follow up a delayed update, changed departure or part-shipment. Give a reachable contact for operational communications.
Collection and delivery after release
The receiver should know the local cargo contact, identification or authorisation requirements and any charges still payable. Arrange clearance and onward transport around the actual release process. For temperature-sensitive goods, ensure the receiving team and suitable storage or transport are ready when collection is authorised.

Turn your enquiry into a workable shipping plan
For a medicine or fresh-food shipment, map the handovers before choosing a rate. Ask who controls the goods while they wait at origin, during a connection and after arrival. Give the required temperature range in the enquiry and check the packing plan with the responsible cargo team. The receiver’s ability to obtain release and collect promptly is part of the decision. For ordinary retail stock, the emphasis may instead be complete piece acceptance, an agreed clearance plan and a warehouse delivery appointment.
Compare the complete quotation
Ask for the total payable for the same shipment and delivery endpoint. A lower flight charge can leave screening, storage, handling and road transport to be paid separately. Check the quotation’s expiry date, payment currency and what happens if the flight changes. Identify who will notify the receiver when the cargo is ready and who pays for a delay in collection. Keep written acceptance with the booking reference before releasing the goods.
