Prepare a complete shipment brief

Check payment, cancellation and substitution terms. If the provider proposes another aircraft later, require confirmation that it meets the accepted load specification. A generic hourly rate does not establish the complete transport cost.
Airport handover and onward delivery
Obtain the receiving facility address, loading window and document checklist. Agree who weighs the goods and reconciles the manifest. Keep the booking reference, package list and packing photographs together, and retain a handover receipt.
For a cross-border movement, identify the export and import clearing representatives and the required goods documents. Equipment returning after an assignment may need a different clearance plan from a permanent sale. Confirm the receiver’s release procedure and onward transport before departure.

Ask for the total payable for the same shipment and delivery endpoint. A lower flight charge can leave screening, storage, handling and road transport to be paid separately. Check the quotation’s expiry date, payment currency and what happens if the flight changes. Identify who will notify the receiver when the cargo is ready and who pays for a delay in collection. Keep written acceptance with the booking reference before releasing the goods.
